Comparison

One record or six?

Spreadsheets, a chat app, a helpdesk, an invoicing tool and an HR system can each be a good choice. This page compares that setup with one record in veli(Q CRM, and says when staying put is the better call.

Last updated 19 October 2026

The short answerSpreadsheets and a few specialist tools are a sound choice while one person runs one process. They stop working when sales, support, billing and people need the same customer at the same time. That is the point where one record starts to pay for itself.

When each is the right call

We are the vendor, so we have a view.

We would still tell you to stay where you are in some cases.

  • Stay in a spreadsheet while one person owns the whole process and the list fits on a screen.
  • Keep a specialist tool if you only need one function done at great depth, and the rest can stay manual or live elsewhere.
  • Move to one record when the same customer is touched by sales, support, billing and people, and you spend real time reconciling what each tool says.

If you are unsure, the guide below shows how to move in steps without replacing everything at once.

Questions

Comparison, answered.

Do we have to replace everything at once?

No. Many teams start with the pipeline and customer record, import their spreadsheets, and move support, billing and people later.

What about our accounting tool?

There is no native accounting integration today. Payments run through Stripe, and you can connect other tools through the API, signed webhooks, automations that send to Slack, Discord or a webhook, and CSV export.

Does it connect to LINE or WhatsApp?

Not natively today. Customer conversations from messaging apps would need to come in through a form, the API or a webhook.

What happens to our data if we leave?

Admins can export every table as CSV at any time. When a customer leaves, its workspace is permanently deleted on written request through a two-step process with a waiting period.

Try one record on your own data.

Import a spreadsheet, invite two colleagues and see whether it removes the reconciling. No card, no time limit.
