Guide

Moving from spreadsheets, step by step.

You do not have to replace everything on day one. This guide takes a team with a spreadsheet of leads and deals to a working pipeline, in the order that avoids rework.

The sequence

Seven steps, in this order.

  1. Sign up and name your stages

Create the workspace, then set your pipeline stages and each stage's win probability in Pipelines. Decide your custom fields in Extra Records before you import.

  2. Invite your team early

Add colleagues so owners and "assigned to" fields reflect real people from the start. The trial has no seat limit.

  3. Prepare the spreadsheet

One row per person or company, one header per column, and one owner per row. Remove obvious duplicates and merge the many versions of a file into one.

  4. Import with header mapping

Use the import on the list page. Headers are mapped automatically and records are inserted in batches.

  5. Set duplicate rules

Choose whether to warn about or refuse duplicate contacts and accounts, so the mess does not return.

  6. Clean up with Data Quality

Review duplicates, merge them and fill the records that are missing key information. Genie can also merge duplicate contacts, companies and deals and carry their history across.

  7. Switch on two automations

Start small: a follow-up task when a form is submitted, and an invoice when a deal is won. Add more once you trust the run history.

Things to know before you importA contact belongs to exactly one account, and creating a deal or a ticket needs an account and a contact. Plan your account list first. Import covers records you can export to CSV; email history stays in your mailbox unless you connect it.

After the import

The first week, in practice.

Run both for a few days

Keep the spreadsheet read-only while the team confirms the CRM has what they need.

Connect payments and calendar

An admin connects Stripe so invoices can be paid online. Each person can connect Google Calendar.

Ask Genie what changed

Once records are in, ask what changed in the pipeline this week and which deals need attention.

Questions

Moving over, answered.

Which file formats can I import?

CSV, with automatic header mapping. Export your spreadsheet to CSV first.

Can I import deals and tickets too?

Import is available from the list pages. Deals and tickets need an account and a contact to attach to, so import accounts and contacts first.

Will duplicates be created?

Duplicate rules can warn about or refuse duplicate contacts and accounts, and Data Quality helps you find and merge the ones already there.

What if I get it wrong?

Deleted records stay in a recycle bin for 24 hours, and admins can export the workspace at any time.

Bring one spreadsheet. See what happens.

Start free, import a list, and ask Genie what it sees. No card, no time limit.
