Guide
What is an AI CRM, and what should it do?
An AI CRM is customer relationship management software with an AI assistant built into the records. This guide explains what that means in practice, what to expect, and what to question.
Definition
AI CRM, in plain words.
A CRM keeps one record of each customer and the work around them: leads, deals, quotes, invoices, tickets and conversations. An AI CRM adds an assistant that can read those records, answer questions about them and prepare work.
The useful version works inside the CRM, with your permissions, rather than as a chatbot that has never seen your data.
How AI CRM works
Three kinds of AI in CRM software.
Most AI features in a CRM fall into three groups. The first reads records and answers questions in plain language. The second writes a first draft, such as an email, an invoice or a summary of a long conversation. The third scores or flags, such as ranking leads or marking a deal as at risk.
The difference between them is control. A reader that is wrong changes nothing. A writer that is wrong can send the wrong message. A scorer that is wrong can send the team after the wrong deal. A good AI CRM lets a person see and approve the output of each kind before it matters.
- Readers answer questions such as which deals are stuck or which tickets are late.
- Writers draft replies, invoices and summaries for a person to approve.
- Scorers rank leads, rate deal health and estimate the chance a goal is met.
Compared
Traditional CRM vs AI CRM.
| Question | Traditional CRM | AI CRM |
|---|---|---|
| Finding an answer | You search, filter and build a report. | You ask in plain language and see the records behind the answer. |
| Follow-up | You write each message and update each record by hand. | The assistant drafts, and you review and apply. |
| Spotting problems | You read dashboards and notice. | Rules or models flag deals and tickets that need attention. |
| Routine work | Rules you build in an automation tool. | Rules you can describe in a sentence, with AI as an optional step. |
Why teams look at it
Why teams look at an AI CRM.
Sales and service teams lose hours every week to research, note taking and follow-up. An assistant that reads the same records can prepare the first draft of that work, so the person spends time on the customer instead of the admin.
It does not replace the person who knows the customer. The value is in speed and consistency, and the risk is in trusting output without checking it.
What to expect
AI CRM features worth having.
Ask which deals are stuck or which tickets are late, and see the records behind the answer.
Invoices, replies and suggested updates, prepared for a person to review.
A deal-health score where each point removed has a stated reason, rather than a number with no explanation.
Workflows that can ask the assistant a yes or no question, with a run history.
The ability to switch AI off per workspace or person, and to see its usage.
Questions
What to question before you buy.
Ask whether the AI acts with the signed-in user's permissions, which actions pause for approval, what data leaves the system, and whether your data trains models. Ask what the AI cannot do yet.
In Veliq CRM, Genie acts as the signed-in user and pauses before merges, invoices, bulk changes, owner changes and deals over 10,000. Your data is never used to train AI models. See the AI CRM page.
Evaluate one
Check an AI CRM in four steps.
- Ask it about your own records
Try questions about real deals and tickets, and check that the answers show the records behind them.
- Check the permissions
Sign in as a person with limited access and confirm the AI shows no more than that person could open.
- Test the approvals
Ask it to merge records or create an invoice, and confirm it pauses for confirmation.
- Read the limits
Ask the vendor what the AI cannot do and what data leaves the system.
AI CRM
AI CRM questions, answered.
How is an AI CRM different from adding a chatbot to my current CRM?
A chatbot answers about whatever it is shown. An AI CRM assistant lives inside each module, reads that module's live records and acts within the user's permissions, leaving an audit trail.
Is AI in a CRM safe?
It depends on the controls. Look for permission-aware access, confirmation on significant actions and masking of secrets. See our security page.
What are examples of AI CRM features?
Questions answered from your records, drafted invoices and replies, explainable deal-health scoring, AI steps inside automations, chat summaries and a morning leadership brief.
Do I need an AI CRM?
If your team spends time on research, follow-up and admin, an AI assistant that works inside the records can save that time. Check the controls first.
